A few notes for the middle of the month....
Thank you to our Library Fire Wardens
Thank you to Brian and Lourdes who have volunteered as HSL Fire Warden and Deputy Warden respectively over the past years. Brian and Lourdes attended a Fire Warden recognition event this past week.
Congratulations
Congratulations to Kathy McDonnell who will be attending the President's reception for long-standing service. Thank you Kathy for over twenty years of dedicated service to the University community.
Away
I will be away the week of October 22nd - 26th.
HSL will now be desensitizing and checking out all items being returned to TBCC and WHKC on the HSL In transit card. This will help track these items more accurately and also make the transit process for all KC return more consistent.
The multi-coloured "In transit" reference chart has been updated (thanks Janine), and is posted at workstation #1 at the service counter. items being returned from these KCs will also be on the transit card and will be placed in our return bin for processing.

Holds
There have been a larger number of missing holds than usual recently, meaning that clients making a special trip in to a branch or KC to pick up a book have gone away empty-handed. With items being checked in and processed system wide, this can happen quite easily if even one step of the holds process for transit items is missed at any location. We have discussed and reviewed processes, and ask that staff working with hold items double check hold items:
- Use Display item holds to confirm pick up location
- Ensure that any hold going to another location for pick up is signed out on an In Transit card.

When this occurs please flag and follow up by emailing the HSL and HIN locations and other LCR locations as appropriate, requesting a search for the item.
All HSL/HIN staff should have access to the HSL Intranet. You may need to add UC_ADMIN\ before your login. Please let me know if you are having any trouble with access.
A couple of recommendations have come from a recent Communications Group meeting:
· Naming convention: If you are adding a document or wiki page to the Intranet, please use the following naming convention: description YYYY MM DD staff initials. Example: Staff contacts 2012 07 24 mg
· Master file: if you are adding a document or file to the Intranet, it should become the master file and other copies of the file should be removed from the shared drive or common files.
Librarian referrals at HSL
If clients are asking for librarian assistance and they are not able to take advantage of the drop-in office consultations, please refer clients to librarians as follows:
Helen: Medical residents and post doctoral students
Lorraine: Veterinary medical students and Bachelor of Health Science students
Caitlin: Undergraduate medical students and medical clerks, and also Nursing until Alix returns in January.

Gate
We did have some problems with our gate and front door alarm system following the power outage about two weeks ago. The problems have now been resolved and the alarm system should be working properly. When in proper alarm mode, there should be no lights showing on the mechanisms at the top of the doors. Please continue to report any concerns with 'phantom alarms', etc.
Room Booking
A further clarification regarding room booking limits mentioned last week. The booking limits refer to combined bookings for all rooms, not a per room limit. That is, a student can book a combined total of 3 hours for any rooms on main campus per week and currently a combined total of 2 hours for all rooms at HSL per week. Watch for HSL room booking changes effective November 1st: bookings will be able to be made on the half hour, and limit will increase from 2 to 3 hours per week.
The Medical Council of Canada and Family Medicine exams will be taking place in our Computer commons beginning October 25th and continuing into the first week of November. The Commons will not be available to others during these days, but will be available evenings and weekends.
POS
We are expecting our new POS machine to arrive as early as this week.
Storage
We will be reviewing the items and space for storage this Friday afternoon.
Turnstile count
Our annual turnstile count took place this past week. Our count on Wednesday, October 10th was 549. However what a difference a day can make, since our count on Thursday, October 11th was 857!
The problems that we had experienced in past on our public computers saving and printing articles to the network printer from Elsevier products seem to be resolved. Lourdes completed some testing last week with positive results.
Periodical Usage Count
Thank you fro continuing the journal count that began in September and will extend through December.
The spreadsheet of titles involved in the count is sitting on the service area credenza beside the shelving and pick up stats sheets. Student assistants and staff are asked to record a stick count for any of these titles that are shelved. There is one column for regular in-house library usage, and one column for those that are used by DDS staff and placed on the cart in DDS.
