HSL Access Notes - Feb. 10th

A few notes to end the week…..

Family Day Hours
HSL will be open regular hours both Saturday and Sunday, February 18th and 19th, and open holiday hours on Monday, February 20th.

Holds
We continue to learn more about how best to manage holds requests as different situations arise.
· It is critical that regular items on hold for pick up at other locations be placed on an “In transit” card as soon as the hold is processed. . Notices go out to clients each day around 5:30, so timing is important items. If this one step is missed the client will be notified that the hold is available before the item has arrived at the pick up location. We have had some frustrated clients who come looking for their hold only to find that it is not yet available.
· The hold pick up list does specify a particular copy of a title when a hold is on a title with multiple copies. We have run into several problems this week when a different copy other than the one specified by the system was pulled. If a different copy is pulled the system will process it with a hold slip, however the hold will still remain on the original copy. The problems become even more complicated if additional holds are placed on the title (including clients being notified before book is available). Please check the hold pull list carefully for any indication of a copy number. Good example of this would be the NRP books, Toronto Notes, Doing Right.
· Compulsory Education title: We have had several hold requests for the NRP books this week for pick up at a KC. To sign a Comp Ed book out on the HSL” In Transit” card, you must use the override “invest” twice, then the override ‘yes’ once.
· If all copies of a title are out, and a title hold is placed, the system will automatically recall one of the copies. If any of the copies are returned, the hold will be satisfied, however the recall remains attached to the original copy. What we have seen happen is that a client is blocked from renewing with an ‘item recalled’ error message, even though the hold has been satisfied by another copy. In these cases, if the client wishes to renew and there are no further holds on the items, we simply need to discharge the item and charge it back out to the client to remove the recall error message.

High Demand Title
The title, Doing Right (2009), on medical ethics, is in high demand at the moment. We do have multiple copies of this title that are circulating to satisfy the numerous holds, and have moved one copy to 2-hr Reserve. Clients may borrow this reserve copy for 2 hour use in the library only.

Associate Client Cards
Persons of Interest, or those associated with the university but not formally employees or students, may apply for a UofC OneCard by completing the POI form and submitting with authorized UofC department approval to HR. If processed, these clients would receive an Associate card from the ID Security Office on main campus.
These types of cards are the only cards that still load into Sirsi with a BlockNew profile. This flags the record for library staff since these records generally load with very little address information. If you are activating an Associate card, please ensure that you choose the appropriate profile and add appropriate work and home address information in the record. Remember an email address in Address #1 window is critical in order for clients to receive any automated messages.

Compulsory Ed Title
AHS has written an online manual for the Initiation of Intravenous Therapy that staff are to be using. Therefore we are pulling the copies of the printed text that we have in our Compulsory Education collection off the shelves. Two HSL copies have been pulled and two HSL copies are on hold on the HSL Circulation card.

· Community users without a library card
Just a reminder that folks without a library card can recall books from the HDL without having to register for a TAL card or any other kind of card.
· Continuing Education Student access to online resources
Just a reminder that when Continuing Education Students ask for assistance with their access or authentication to online resources, they need to phone Continuing Education for assistance. The Library doesn’t have access to OneCE, which is the database of students enrolled in Cont Ed courses. So we rely on them to do the troubleshooting for us. If you look at the library authentication help screen, the phone number for Continuing Education Students is a Cont Ed number: 220-2866

Audio Digest
We keep five years plus the current year of Audio Digest, so we have begun pulling the 2006 volumes of Audio Digest for withdrawal and discard.

Mackie Collection
Thirty two books from this collection have been sent for digitization.

Supplies
While the administrative support position is vacant, I will be compiling supply requests for follow up as soon as possible. Please forward supply requests to me.

AUPE
A schedule of the AUPE annual general meetings for the coming week is posted in the staff kitchen, along with recent AUPE offers.
