HSL Access Notes - june 15th


Hello Everyone,


HIN June 18th and 19th
On the afternoon of Monday, June 18 and all day June 19, HIN Knowledge Centre library staff are off-site attending a meeting.  Clients who require immediate library assistance, will be directed to the Health Sciences Library circulation desk, phone at 403-220-6855, or email at hslibr.

Consult Office Schedule
Our regular Consult Office schedule resumes next week.
I believe IM and hslibr will be monitored by the librarians in the consult office (to be confirmed).

Librarian Referral Form
If a librarian is not available, and a client would like to have their research request referred to a librarian for assistance, we now have a helpful referral form.  There are copies in a folder in the service area file drawer labelled Librarian Referral Form.
Did anyone have a chance to use a form this week?  Any comments or feedback from clients or staff?


Sirsi Records – Important
A message from Rob Tiessen regarding Sirsi records…..
I would like to remind everyone that they should never, ever edit the alt ID number (alternate ID) in a user’s record in Sirsi
The alternate ID is used to match changes in a user’s record.  For example if a student changes their phone number in the PeopleSoft Student Centre, the alt id is used as the match to change their user record in Sirsi.  Removing the leading zeroes from a student or staff members alt id, will mean that their information will never update when a change is made in PeopleSoft.  Since we have gone to a lot of work to make sure that updates in PeopleSoft flow through to Sirsi, this is something we don’t want to ever see happen. 
The alt ID is not the same as the PIN, even if the numbers in both fields are often identical. 

UofC Casual Staff
Rob Tiessen confirmed this week when I was following up with a client query, that casual UofC staff are not eligible for library privileges.  They could be offered privileges as any other member of the public.

Access to HIN resources on HSL Public Computers
Generally on the HSL public computers clients needing to use HIN online resources need to authenticate using their HIN barcode and pin numbers.   The computers in the Computer Commons do not require the authentication for ease of use during instruction sessions.

Information for clients to Update UofC email
When following up with a client this week who ran into problems with his email login for our room booking system, I spoke with both HR and IT to try to find out more.  I learned that email updates seem to have changed with the new systems.
They indicated the following:
  • Students: Still need to go into MyUofC and then into the Student Center to update their email (choose preferred email)
  • Staff:  Do not have this option in MyUofC any longer.  Staff and faculty now need to call the IT help desk (or contact IT by email) to update their UofC email.

Front Doors
Our doors appear to be working properly at the moment, but please continue to monitor closely, especially to ensure they are latched and locked at closing!    
·         No lights on doors:   Proper alarm mode
·         Red light(s) on doors :  Not alarmed  - this means that staff need to set off the alarm, wait for two green lights, then press the reset button at station #3
·         Two green lights:  doors locked and ready to reset -  press the reset button at station #3

1460ZA Doors
One evening this week the 1460zA doors (leading from library to 1461-64 classroom hallway)were found to be unsecured.  The locks on these doors are on an automatic lock program.
·         Until the shared access is completely set up, these doors should always be in a locked mode.  This means there are flashing red light s on the crash bars, and the light on the card swipe is red.
·         If the doors are not locked and not alarmed, there will be no lights flashing on the crash bars, and the light on the card swipe will be green.
·         If doors are found unsecured evenings and weekends, please call security at 220-5333.  HSC security staff should be able to ask their supervisor to check the programming and ensure the doors are secured.

History of Medicine(HOM)Room
There have been small wet spots on  one ceiling tile in the HOM room both this week and last week.  In both cases plumbers have been able to resolve the problem that seem to stem from small water issues on the floor above.  Staff are asked to continue to check the ceiling tiles for any fresh wet spots during regular walk arounds.  If wet tiles are noted during evening and weekends please call security at 220-5333.

Downtown Campus Mail Label
Mail sent to the downtown library (with a Downtown Library mail label) was returned to us recently as undeliverable.  We have updated the mail label to Downtown Campus with library address information and contact person.  This seems to be working well.  The new template has been saved in the R drive :Health Sciences Library:  Mail Labels.

Lost and Found
We continue to collect items in our lost and found.  This week a cell phone was found in the women's washroom and never claimed.  It has been taken down to HSC security desk for sae keeping if anyone happens to inquire after it.  Also added to our HSL lost and found:  a Macbook plugin and a wireless earpiece, in case people are inquiring.
