HSL Access notes - June 8th

Hello Everyone,

A few notes for the week…


Doors
Our doors appear to be working properly at the moment, but please continue to monitor closely, especially to ensure they are latched and locked at closing!     Please note that the door are in the proper alarm mode when no lights are showing on the doors.  When the alarm goes off,  doors should lock and green lights should go on.  The reset button at the service desk needs to be used to then reset.  If the alarm and doors go ‘out of sync’ , for example, the alarm goes off when one of the doors is still  open (often happens if someone is coming in with a book that sets off the alarm), a red light may appear.  If the reset button is pressed and there is still a red light showing, the doors are not in a proper alarm mode.  Staff will need to set off the alarm and then reset (wait until you see two green lights before pressing the reset button).   It is only when there are no lights showing that the doors are in alarm mode.  Thanks.

Individual Study Rooms
As noted last week, one student has booked 1481C until August 31st.  So it will be very important to track the use of the key over the next few months, when it is signed in and out.  There is a simple spreadsheet that needs to be completed by staff and initialled by the client and staff each time it is signed in and out.  His room booking form and the spreadsheet are in the extended room booking binder.
There are now additional clients who may have access, Dr. Hogan, Dr. Stahnisch, and Dr. Jim Wright as well as Dr. Lampard, and student Mikkel Dack.   Since there may be confidential information in the room, staff should ask for ID when someone asks for the key.  At the moment the student has the key and 1481C should remain locked.
 Room 1481 D also has an extended booking and will remain locked. 

Consult office - June  11 – 15
There are a number of librarians away this coming week and consult office hours will be form 10:00 – 2:00 each day.  Thanks to Yongtao and Carrie for assisting with consult coverage on Wednesday and Thursday. 
Lourdes will be monitoring the hslibr email and IM chat this coming week.

Librarian Referral Form
If a librarian is not available, and a client would like to have their research request referred to a librarian for assistance, we now have a helpful referral form.  Thanks Janine for working on this form and for everyone’s input. 

Susan has  incorporated suggested changes into the search form that is attached.  We will use it at the HSL Service desk June 11-15 and see what changes if any need to be made.  There are copies in a folder in the service area file drawer labelled Librarian Referral Form.

AHS staff registering for Instruction Sessions
An update from Susan
AHS staff can register for MyLearning Link courses on UofC computers as well as AHS computers.  Please follow steps below.

If clients come to the HSL desk wanting assistance registering for courses:
1.        The client needs to sign in to my.albertahealthservices.ca  using their username and password.  The user name IS NOT necessarily their email name (my user name and email name are different).  Calgary clients MUST select the Calgary portal. 
2.       On the AHS page, select INsite.  It is an image in the centre of the staff tools section.  This will open in a new browser.
3.       From the Insite page, find MyLearningLink.  Right hand menu, under Forms,  Policies, Tools
4.       Click on MyLearning Link
5.       Sign in again using the same username and password.  (this is new, previously MLL required different credentials)
6.       Courses can be searched for and registered for.

Also, there are instructions for registering at MyLearningLink inside the HIN instruction session pamphlets at the HSL desk.

New books
We have received our first books this week that have the new final processing.  That is our books will now be stamped with the “Library University of Calgary” stamp (similar to main campus books), and our spine labels will have HSL included just above the call number.  This will mean that the HSL on the spine labels will be the way to visually identify our books.  This is an industry standard.
New books are also now being tracked when in transit from final processing by being checked out to an ‘available soon’ card.  When new books arrive they now need to be discharged as part of the routine process.

Intranet
Have HSL staff visited the HSL Intranet site yet at:  https://spse.ucalgary.ca/sites/HSL/default.aspx
We are working at building the information on this site and more information and details will be forthcoming.
The main page includes instructions for adding content to the site.  We hope this will become the ‘go to site’ for information that supports daily work, services and operations.  This will also become the place to save and find master copies of the most up to date information.
There is a link to weekly desk schedules, and the staff away calendar.
Currently the site includes the following areas, and the coordinators or leads in these areas would oversee the content.  We would love to hear everyone’s ideas to make this a valuable information and communication tool.

Staff are encouraged to log into the site using their ucalgary eid .
All comments and feedback are welcome.

Voids
Generally POS receipts are given to the client.  However  receipts for POS transactions that are voided must be retained and processed with the daily deposits.   These receipts for voided transactions should be added to the cash drawer .  Thanks.
