HSL Access notes - June 4th

Hello,

A few notes to begin the month of June....

Consult Office Schedule
We are still on a reduced consult office schedule for the next two weeks.
June 4-8: 
IM is being monitored for HSL by the HIN Knowledge Centre staff.  Thanks.
hslibr email is being monitored by HSL librarians.
June 11-15:
IM and hslibr being monitored by Lourdes or front desk staff if Lourdes is away.
June 18th:
Regular consult office hours resume, 8:00 a.m. - 4:30 p.m.

Cancer Care Literature searches June 4-8
With TBCC librarians away next week, HSL staff will be helping with literature searches from Cancer Care.  Requests will be forwarded to hslref list. 
Service Desk Coverage
With fewer service staff available, we continue to use single staffing at the desk more often during this time.  Thanks to Kathy and Lorraine and Janine for some of the extra coverage when needed!
We are pleased that many of our students assistants, Diana, Marissa, Jessica, Winnie, have been able to assist with morning  shifts and assignments.

Printing at HSL
We have had a number of questions about printing recently.
AHS staff may print work related materials from the HSL back up computer at no charge.
Patient/patient family clients may print materials that are medical in nature from the HSL back up computer at no charge.
AHS staff, community clients and patient/patient family clients may print materials from the HSL back up computer that are of personal interest however are charged similar to UofC clients .08 cents per page (.16 for double sided sheets) for black and white and .39 cents per page for colour.

Requesting Videos from Visual and Fine Arts (3rd floor TFDL)
We rarely have client requests for videos from the VFA department in TFDL.  These items are generally have a one week loan period and can be renewed, however and cannot be placed on hold.  The staff at VFA are willing to facilitate requests for UofC and HIN clients.  This could begin with an request sent to hslcirc or hsldoc email.

Individual Study Room
There is a special arrangement with the faculty allowing one student to book individual study room 1481C through August 31st.  Since he has requested that he sign the key in and out (generally students keep the key when a room is booked) as needed, we need to track the use and whereabouts of the key.  I have created a simple spreadsheet that needs to be completed by staff and initialled by the client and staff each time the key is signed in and out.  The student's room booking form and the spreadsheet are in the extended room booking binder.
At the moment there are two different clients who may have access, Dr. Lampard, and student Mikkel Dack.  We may get a list of additional names of those who can access the key at a later date.  Since there may be confidential information in the room, staff should ask for ID when someone asks for the key.  At the moment the student has the key and 1481C should remain locked.  Thanks.
 Individual study room 1481D is also booked for an extended period and should remain locked.
 Supplies
Thanks to all for sending in their supply requests and special thanks to Kathy for working on our June supply order!  Kathy hopes to have the order sent out this week.

New Garbage and Recycle Bins
We have received new garbage and recycle bins.  The paper recycle bins replace the green bags that had been in place by the copiers in the public and staff workroom areas.  There is a new tall bin in the HSL kitchen for beverage containers that can be returned for deposit.  The small box in the kitchen will be for other recyclable containers and will be emptied regularly by Zhen, our caretaker.

We recently lost our voicemail option on our 6855 phones.  This has been reported and should be restored on Monday.
