A few notes to begin the new month....
Congratulations
Congratulations to Brian Evans who has contributed to not only the university, but to HSL for over 23 years! Brian holds the record for being the longest serving staff member currently at HSL. He has been the key to friendly service for our evening and weekend clients in recent years and has collaborated with HSL staff on many major assignments and projects since 1988 . Thank you Brian for your valuable service at HSL .
HSL Thanksgiving Weekend Hours
HSL will be open throughout the Thanksgiving Weekend with regular hours Saturday, October 8th and Sunday October 9th, and holiday hours on Monday, October 10th.
Saturday, October 8th : 10:00 a.m. – 6:00 p.m.
Sunday October 9th : 12:00 p.m. – 8:00 p.m.
Monday, October 10th : 10:00 a.m. – 6:00 p.m (holiday hours)
Windows 7
Windows 7 was installed at HSL on six of our public computers (741, 744, 745, 746, 749, 750) by the service area on the table closest to the Computer Classroom.
The biggest difference clients may notice is that Office 2003 and Office 2007 are both gone, replaced by Office 2010. The load also includes the newer versions of the Internet browsers; Mozilla is now version 5 and Internet Explorer is now version 9.
This is a ‘test batch’. We are expecting this to be a smooth transition, however, could staff please pass along to me any issues that clients report with the new software load. That way ITS will be able to address any issues before the load is installed on the remaining stations.
Public Computer Passwords
· These workstations also have a new login password.The new password will be used on all LCR public computers as they are updated to Windows 7. Generally if machines are turned off and restarted they will automatically login to the desktop, however if a client logs off after a session the password will be needed to log back in. The new Windows 7 login password: lcr,info2
· This password has been added to the circulation and reference binders.
· We have been advised that we can go ahead and pass this password out to clients if needed.
Computer Classroom
Additional computers should be added to computer classroom 1460 A, and all computers loaded with Windows 7 this week.
· There are many sessions scheduled over the next few months, and you may wish to ensure your programs work well with the new load.
· A few times recently instructors in 1460B have had problems getting the data projector to display. It may be that the projector has been linked to 1460A for a previous presentation, and the channel needs to be reset. This can be done by pointing the remote at the projector and pressing 1 .
· If you require special software (EndNote, SPSS, etc.) for an instruction session, please let Annley or myself know and we will follow up with ITS. Please indicate if there are special versions of the software required. Thanks.
Door/Gate
The 3M gate was tested this week and we did hear the first RFID alarm, however work continues on the connection with the door (the door will lock for a few seconds when the alarm sounds). The old gate and security system will be in place until the new gate and door is fully operational.
Lost and Found - tech items
We have found a number of tech type items in the library over the last few months, such as a webcam, Apple adapters, cords and connectors, etc.. AV Services in the building have a lost and found in their department, and have offered to accept our unclaimed items. If you find an item in the library, please label with the date and place found and include your initials. We will hold at HSL for a couple of weeks, then unclaimed tech items will be taken to the AV Services department. They will hold them for about 6 months.
If clients are asking for lost items and they are not in our lost and found, please also direct them to check the lost and found with AV Services, and the main HSC Info desk.
Sirsi - client records
Friday, September 30th, was the expiry date for library privileges for graduate students who completed their studies this spring and summer.
· Those graduate students who have scheduled classes this term and have completed registration should be in the Sirsi system with a January 31, 2012 expiry date.
· We have seen some students who do not automatically update with the new expiry date. Over the weekend there were three active grad students whose records did not update to the new expiry date and therefore contacted staff because they could not renew their items. If you run into this type of situation with a grad student client, we will need to follow up to verify their status. Please update their privileges for one month, add a note to their record to this effect, and pass along to me for follow up.
· For those students whose records have validly expired, they may wish to know what their options are:
o Alumni: all UofC grads who have completed their program will be eligible for an alumni card. There are a couple of options, all free of charge. Please see Aug. 29th Notes.
o AHS: If they are AHS, Calgary Zone, we would be able to register them for HIN services. This would be a better option than Alumni.
o Public : If they do not qualify as alumni, and are not AHS or UofC , there are the public options of paid Community Reader card (65.00 per year, allows renewals and holds), or the TAL card (issued from public library, free of charge, limited to 5 items, no holds or renewals)
Printing/Scanning
The HSL scanner is currently out of order. It has been reported and we are following up with ITS. I know there has been quite a demand for scanning recently. Also there are times when there are line-ups at the network printer. We would like to casually monitor the use and any issues with the scanner and network printer over the next month or two in order to determine access to these services is required. Please report any trends, concerns, troubleshooting or client printing/scanning issues to me by email or in the shift report. Thanks.
Holds
We are still expecting the new hold processes that allow clients to select their pick up location when they place their hold to be implemented this month. This process uses a new ‘mail service’ feature in Sirsi. For staff, it will mean that for each item that is discharged that comes up with a hold, we will need to check the hold display to find out the hold pick up location (no longer necessarily the home location). Printed instructions were sent out with earlier Notes and I will re-send once we have a more definite for the implementation.
Carts in service area
Staff are asked to keep any book carts or other furniture of materials well away from the back wall of the service area in order to protect the artwork and the dark paint. Working carts may be stored closer to the cubicle walls. Thanks.
RFID coming Soon
The RFID project continues with tagging of the History of medicine collection. Once the door and new gate are fully installed we will begin to use the new RFID checkout processes, and this might be just around the corner! I would be pleased to demonstrate the new process at the desk, and will be sending out some printed information soon.
